What’s New in OnBase 25.1

With its latest release, OnBase customers will benefit from a significant array of enhancements aimed at boosting efficiency, expanding automation, and improving usability. The 25.1 release focuses on refining user experience, enhancing administrative functionality, and strengthening integration capabilities. From major updates to the Web Client and App Builder to new integration features, OnBase 25.1 provides organizations with more tools than ever to streamline their operations and optimize information management.


Below, we break down the most impactful updates introduced in this latest release.


 

OnBase Web Client

OnBase 25.1 refines the Web Client experience, making it more intuitive, flexible, and user-friendly with these key updates:


Single Window Mode Enhancements

  • Traditionally, OnBase opened multiple pop-up windows for different tasks, which could clutter the user’s workspace. Single Window Mode consolidates all OnBase activities within a single browser window, reducing screen clutter and improving navigation.

  • Administrators now have the ability to enable or disable this feature by default, allowing them to control the user experience across their organization.

  • Users can toggle between classic mode and single-window mode based on their preference, providing flexibility in how they interact with OnBase.


Text Report Viewer Enhancements

  • The "Green Bar" report viewer, long used for analyzing structured text reports, has been upgraded with a modernized interface that enhances readability.

  • Cross-referencing capabilities now allow users to quickly link related information, making it easier to analyze and verify data within reports.

 

 

Annotation Capabilities

To enhance document collaboration and markup capabilities, OnBase 25.1 introduces two powerful new annotation types:


Line Annotation

  • Users can now draw precise straight lines directly onto documents, making it easier to highlight important content, underline text, or create structured diagrams.


Freehand Annotation

  • Users can sketch and draw freely on documents, allowing for personalized markups, handwritten notes, or diagramming.

  • This feature mimics traditional paper-based note-taking, helping users annotate PDFs, images, and scanned documents more naturally.


Supported Platforms:

  • These new annotation features are available across Web Client, Unity Client, Mobile Access, and OnBase Medical Records Management (MRM).

  • PDF annotation is supported through Hyland’s new native viewer, improving compatibility and performance.

 

 

WorkView Enhancements

Responsive Panels 

  • WorkView panels now adjust dynamically based on screen size, offering a more flexible user experience across desktops, tablets, and mobile devices.



Display Template Enhancements 

  • Users can now manage and customize Display Templates from a central location within OnBase Studio.

  • A new client-side API method allows for advanced UI customization, enabling a more modern, Hyland-design-compliant look.


 

OnBase App Builder

Single-source layout for WorkView objects 

  • Users can now create custom application layouts within OnBase App Builder that unify data from multiple sources into a single, structured interface.


Full-text search for custom queries 

  • Searching within OnBase is now more powerful, allowing users to perform full-text searches across custom queries, retrieving more relevant results faster.


Localized UI translation support 

  • Organizations can now translate and localize their OnBase UI into different languages, including English, French, and more, ensuring accessibility for global teams.


Enhanced filtering and responsive dashboards 

  • Users can now filter WorkView objects with improved UI elements, including real-time filtering counts and constraints, making it easier to find relevant records.

Administrative Tools

Unity Forms

  • New Responsive Design 

    • Forms now dynamically adjust based on screen size, ensuring a seamless experience on desktops, tablets, and smartphones.


  • Test Drive Feature 

    • Users can preview how a form will look in different layouts (Small, Medium, and Large), ensuring forms are designed optimally for different devices.

OnBase Admin Portal Enhancements

  • Environmental Value Management (EVM) – Admins are now able to manage environment values in OAP across environment value sets.

  • Overwrite Protections – added protection to prevent multiple users from changing the information or values of the same objects at the same time.

  • Copy Action – Administrators can now save a copy of a configuration object through the OAP using a save as option which will drastically reduce the time needed to set up new configurations. Applicable to all objects currently in the OAP.

Enhanced Integrations

Microsoft 365 Outlook Add-in 2.0

  • Users can now import and index emails and attachments into OnBase directly from Outlook Web, Mac, iOS, and Android versions.

Salesforce & nCino Integrations

  • New dashboards and scheduling tools for migrating and managing Salesforce and nCino documents within OnBase.

GIS Integration for Esri

  • A new Hyland Content Widget for Esri Experience Builder allows customized mapping and document retrieval within GIS applications.

Workday

  • OnBase now supports direct Workday integration, eliminating the need for Workday Extend and improving HR and finance document management.


 

 

Content Intelligence Connector for OnBase

Hyland continues to deliver on its unified Content Innovation Cloud roadmap and meet evolving customer needs offering new, AI-enhanced capabilities to drive content, process and application intelligence across its comprehensive portfolio. Existing OnBase customers can enhance the functionality of their OnBase deployment by adding CIC capabilities (CIC licensing required)
